Overview
Registration to Ohio Soccer Association is a vital and necessary part of the membership process. We pride ourselves on knowing who our members are in order to communicate effectively and cater to your needs, as well as provide a host of other benefits for your organization.
OSA utilizes Demosphere as our registration platform. For all coaches, league/club staff, trainers, board members and other identified adults needing to complete the Safe Soccer (risk) training (required), we have also partnered with Player’s Health, who’s platform satisfies all state and federal Safe Soccer requirements. Demosphere and Player’s Health have partnered together to allow information to flow between systems.
All members will utilize the Demosphere system in some fashion. The requirements can vary by program type.

OSA Safe Soccer (Risk): Updated 2022-2023 Seasonal Year Processes
We apologize for the delay in re-opening our risk process for the 2022-2023 seasonal year. Due to some recent Player’s Health enhancements, we ran into some unanticipated challenges and wanted to further test the system to ensure we had mutual understanding for a seamless user experience.
Below are IMPORTANT UPDATES to our risk requirements and processes for the new seasonal year:
As a reminder, becoming Safe Soccer approved is the process by which any coach, trainer, board member, league/club staff or other OSA defined “Adult Participant” meet the criteria set forth by the State and Federal governments, U.S. Soccer, US Youth Soccer, and Ohio Soccer Association (OSA) for the safety of all participants each seasonal year. OSA’s seasonal year runs September 1 through August 31.
OSA Risk Requirements
- Background Checks are required every two (2) years and can take an avg of 3-5 business days; however, during the months of July and August, background checks can take 7-14 business days to process so please start the process early. The fee is $18/background check. See below for more information about background check code options.
- Concussion Training is required every two (2) years and is the ONLY requirement completed outside of your Player’s Health risk account through either the CDC or NFHS training. The NFHS training is easier to navigate. You will be required to upload your completed concussion certificate into your Player’s Health risk account.
- Lindsay’s Law is required annually and is completed directly through your Player’s Health risk account by electronically signing off on the 18-minute coach’s video.
- SafeSport Training is required annually and is completed through your Player’s Health risk account. Four-Year Training Cycle: The Core Course takes approximately 1.5-2 hrs and any Refresher Courses (1, 2, or 3) takes approximately 15-20 mins. It is recommended to download a copy of your current certificate for your records. It may take 24-48 hours for your newly completed course to sync as completed in your risk account.
Accessing Risk Requirements
- It is strongly recommended to use a PC or laptop (not mobile device) to complete your risk requirements
- Use your email address associated with your Demosphere account
- Use this url to access your risk account: demosphere-secure.com/_dashboard
- Under ‘My Account’, click on your ‘Risk Mgmt’ tab (see below screenshot)
- Scroll down to click on the blue ‘Player’s Health Sign In’ button to complete (new coach) and/or renew (returning coach) your annual risk requirements.

6. ‘Authorize’ Player’s Health to use your Demosphere accoun

8. Complete required background check and training requirements
New Coaches
Once properly registered/added to Demosphere and initiated by Member Services, they will receive an automated email from Demosphere with instructions on how to access their Player’s Health risk account (same process as above) to complete all four (4) risk requirements.
Returning Coaches
Do not receive an automated email from Demosphere. Returning coaches should log into their risk account (same process as above) prior to the start of the season to renew their annual risk requirements regardless if they are currently risk APPROVED or NOT APPROVED (EXPIRED) to remain risk approved for the seasonal year. Note: Risk requirements cannot be renewed more than 60 days from the date of expiration.
After a returning NOT APPROVED (EXPIRED) coach successfully logs into their risk account, he/she will be prompted to complete any risk requirements that have expired.
If a returning coach is currently risk APPROVED and ANY of their risk requirements WILL expire within 60 days, after they successfully log into their risk account:

2. Click ‘BG Checks’ tab. If your background check will expire within 60 days, please submit a new background check PRIOR TO CARDING and/or PARTICIPATION by clicking on the ‘Complete BGC Check’ button

3. Click ‘Trainings’ tab. If any one of your trainings will expire within 60 days, please renew your training(s) PRIOR TO CARDING and/or PARTICIPATION by clicking on the green player button(s)
If a coach is currently risk APPROVED and ANY of their risk requirements will NOT expire within 60 days, they will receive an email from Player’s Health once they expire to renew their risk requirement(s) to remain risk approved for the seasonal year. OSA and Player’s Health will audit monthly to ensure compliance.
Competitive Background Check Codes
Competitive clubs may now start requesting new background check codes for the 2022-2023 seasonal year. The cost is $18/per check.

Recreational Background Check Codes
OSA absorbs the cost of background checks for our recreational leagues/clubs. Member Services will be providing you with a copy of your NEW 2022-2023 background check codes along with updated risk instructions for both new and returning coaches as soon as possible.
Adult Athlete Requirements
This process will be redefined for the 2022-2023 seasonal year. Watch for more information in September.
Minor Coaches
A Minor Coach is a coach under 18 years of age participating as a coach. Minor Coaches (with parental/guardian consent) must complete the SafeSport Training course and the State of Ohio requirements for Lindsay’s Law and Concussion training. This process will be handled outside of Player’s Health and managed by Member Services. If you have a Minor Coach, please contact Bernie btelmanik@ohio-soccer.org for more information.

We know many of you are eager to start the process; however, we want to ensure mutual understanding of our risk processes as we evolve for a more seamless user experience. Watch for more information by next week. In the meantime, we encourage you to review the information below on seasonal syncs and background check codes prior to launching risk.

2022-2023 Seasonal Syncs
Clubs and leagues can now sync to OSA and their playing league (if applicable) for the 2022-2023 seasonal year. Risk cannot be initiated until you are synced.

1. Under ‘RosterPro Registration’, select your ‘Program Setup’ tab.
2. Select your program and ‘Manage’ your season.


3. Under your ‘Season Settings’ tab, scroll to the bottom.
4. Under ‘Seasonal Data Synchronization’, click the ‘Add a Seasonal Sync’.
- Organization = Ohio Soccer Association
- Scope = 2022-2023
- Season = Select your participating league ONLY if applicable; otherwise leave as ‘No Season Linked’. Most rec clubs/leagues will NOT select anything here because you will directly register to OSA.
5. Please carefully review and ONLY select the age groups you want to sync to any given league and/or directly to OSA. If you have an age group that has some teams in one league, and some in another, considering making two age group folders for this age group, one for each league. They you can place the appropriate teams in each folder based on your league(s) and sync to the right league(s). Each group in your event structure can only sync to ONE
6. Select all applicable red required fields and ‘Save’.
Please do not delete your seasonal syncs or teams once they are approved by your league and/or OSA. If you have any sync issues or questions regarding syncs from one seasonal year to another, please contact Member Services to walk you through best practices in managing your registration system.
Final 2021-2022 OSA Monthly Invoices
Recreational leagues and in-house programs please make sure your final player data has been synced or imported for the current seasonal year by July 1st as we get ready to close the seasonal year.
Invoices will be emailed to you on a monthly basis, if applicable, and can be accessed in the State side of Demosphere.
- 15th/Month: Invoices generated
- 30th/Month: Invoices due
Please remit your payment by the 30th of each month to remain in good standing, especially for insurance coverage.
OSA 2022-2023 Annual Membership
We will be opening our 2022-2023 annual membership for clubs and leagues in July. Membership is for one seasonal year, which runs September 1-August 31. Annual membership online form and $50 fee is due no later than September 1st to continue taking advantage of all the benefits an OSA membership has to offer, including avoiding a lapse in insurance coverage.
Full members receive a location pin with organization information on our Find A Place to Play map (based on information submitted in application and promoted heavily in our upcoming League & Club Information Guide during tryout season) and are also listed in our directory.

Tournament Forms
Need approval for Permission to Travel, Guest Player Permissions or Notifications to Attend Another Organization’s Event?
- The following online forms are completed by an Admin/Team Staff using their own Demosphere household account.
- You will be prompted to “Register as a Participant/Player” to submit the request on behalf of the team. We recommend then selecting (or creating if necessary) yourself as the ‘Household Member to Register’ (Step 2.1).
- During the online process, you will be prompted to download/print a copy of your e-approval before completing your request.
- Application to Host a Tournament or Games Involving Foreign Teams (complete form and return to the OSA office for approval, the OSA office will forward to the US Soccer Federation)

Non-OSA Carded Tournament Guest Player Registration
Please use the link below to obtain a tournament guest player card. A player cannot receive a tournament guest player card if the player has already been registered to a OSA-carded team during the current seasonal year.
After the family completes the player registration, they will be contacted by an OSA Member Services team member within two business days.
The cost of the card is $21.
Please use or recover an existing account you may already have in order to register. If no account exists, you should then proceed to register new. Click here for instructions to recover an existing account.
Tournament Only Team Registration
Non-Demosphere Users: For clubs/teams who are not currently in the Demosphere system.
- Email Jessica at jeberle@ohio-soccer.org with the following information:
- Number of Teams;
- Team Name(s);
- Team Age Group(s);
- Team Gender(s);
- Names, gender, email, and DOB of all coaches,
- Names of players per team; and
- Indicate whether you would like the carding fee ($21/player) collected during the individual player registration or to remit one team payment.
- This information will be used to set up your registration. A link for parents to register their player(s) will then be emailed to you within two (2) business days.
- Instructions for coaches to complete the Safe Soccer (risk) training will also be included.
- Parents should be prepared to upload proof of birth and a headshot photo (color, no hats, sunglasses, animals or with other people).
- After all players have registered, the team will be rostered in Demosphere.
- Rosters and cards will be printed ONLY after ALL players are verified, coaches have completed their risk, and payment has been received.
Current Demosphere Users: For clubs/teams who are currently in the Demosphere system.
- Create each team and ensure that the team(s) are setup as a separate team(s) in your seasonal grouping
- Add a seasonal sync for your team(s) to ‘Tournament Teams Only’.
- Notify Jessica at jeberle@ohio-soccer.org that you have synced your team(s).
- Rosters and cards can be printed ONLY after ALL players are verified, coaches have completed their risk, and payment has been received.
- You will need to coordinate the payment of carding fees to OSA ($21/player) before they will be approved to print.
Out Of State Permission
- OSA Out of State Player Permission Form – Player wishing to play soccer in another state for the 2022-2023 seasonal year.

Our goal is to make registration to Ohio Soccer Association as simple as possible, while assisting you in complying with the necessary state and federal requirements. As such, there are multiple ways to get your information to us. All player and coach registrations are handled via our registration partner, Demosphere.
- Using Demosphere for your registration and syncing to OSA
- Uploading data into Demosphere
Via Sync (If Collecting Registrations in Demosphere)
Leagues must establish a sync in order for OSA to view player and coach information and generate your invoice.
- During your event set up, under Season Settings, if you scroll down to the bottom, you’ll see a box called Seasonal Data Synchronization.
- Select the green ‘+ Add a Seasonal Sync’ button.
- In the window that opens, select the following:
- Organization: Ohio Soccer Association
- Scope: 2021-2022
- Season: Leave alone! Should say ‘No Season Linked’.
- Check the top checkbox to select your entire season.
- Enter from the dropdown the required fields in each age group as marked.
- Hit Save.
- All players must be assigned to a team for the invoice to generate correctly even if your league does not assign teams. You can simply place all players on the same team or create one team per age group.
(Please note: the video instructs you to select a Season. DO NOT DO THIS AS A REC LEAGUE.)
If you are collecting coach registrations in Demosphere, please make sure to change their registration status from ‘PENDING REVIEW’ to ‘APPROVED’ in your system.
Demosphere Registration Benefit: OSA automatically includes the following required forms electronically for players who register directly in Demosphere: OSA Player Registration Form, Lindsay’s Law, and Concussion Information Sheet.
Via Upload (If Not Collecting Registrations in Demosphere)
Recreational leagues who are not collecting registrations in Demosphere are required to:
- Email your player upload files to members@ohio-soccer.org.
- OR upload your player data files directly into the State side of Demosphere via the following templates:
IMPORTANT: You must place all players on a team in your import for the invoice to generate correctly even if your league does not assign teams. You can simply place all players on the same team or create one team per age group.
- Complete the online OSA Safe Soccer Certification Form to certify your recreational league has collected the following required OSA forms for the season:
OSA Invoices
Once you have synced or uploaded your players/team(s), your invoice will be emailed to you on a monthly basis and can be accessed in the State side of Demosphere.
- 15th/Month: Invoices generated
- 30th/Month: Invoices due
It is VERY important that you submit you player/team data to OSA to establish membership and insurance coverage in the event we receive any claims.
Please make sure you have at least one Club Official listed in the State side of Demosphere that has ‘Invoices’ permissions checked to receive your invoice.
Competitive Registration & Carding
Player registration for carding to a competitive team occurs via the club at which the player wishes to participate. Cards are issued by the competitive league a team participates in.
All clubs participating in OSA member competitive leagues in the 2020-21 Season have been set up with a Demosphere system. If you are a new club that needs to be set up, please contact our Member Services team: members@ohio-soccer.org or 330-667-0850.
Registration in Demosphere occurs through events in your club system. An event is what your players, coaches, board members, etc will register to. Every event in your system can have waivers added during registration – those events syncing to OSA for carding or insurance purposes must contain these four OSA waivers:
- OSA Player Registration Form
- OSA Lindsay’s Law
- OSA Concussion Information Sheet
- Parents should be prepared to upload a copy of the players birth certificate and a current color headshot of their child; with no animals, hats, sunglasses, or other people in it.
- Parents will complete the required waivers during registration to the club.
- Coaches should be prepared to upload a current color headshot of themselves, with no animals, hats, sunglasses, or other people in it.
- In order to be carded, coaches must complete their Safe Soccer training in Player’s Health.
Clubs will also:
- Create teams and assign players/coaches to teams in their system.
- Sync teams in Demosphere to the league that will do their carding, so that players and coaches can be verified and the team may be processed.
- Teams participating in multiple leagues should sync to each league, but only one league will provide cards. Please communicate with each league to determine who this is. Players and coaches will only be carded by a league after they have met the requirements outlined in the above sections.

Age Group Chart
When determining the age group for a season, the year the season ends should be used for determining the birth year. Also note that the format “Age followed by and under” really means that age and younger. For example, 2013 birth year in the 2021-22 seasonal year would be listed as under-9s.
