Carding And Transfers

Team & Player Carding Notification Appointments

The Appointment is how we are notified that your team is READY in GotSport for ALL Coach and Player cards to be printed.  DO NOT make a Notification Appointment if your team is not 100% ready with all players and coaches as we will receive the notice and may begin processing the cards/rosters and put them in the mail. 

ALL CARDS WILL BE MAILED FOR FALL 2025 (pick up will only be available for emergency situations).

Please allow the league 3 Business days notice to process full team carding and at least 24 business hours notice for single adds/transfers. Please allow for an additional 2-5 business days notice for mailing time prior to when the cards are needed for a game or tournament. 

***We will not be in the office to do cards after 2pm during the week and are not in on the weekends.

Carding

Full Team Carding:

  • All Player information is entered into GotSport (this is the player’s family’s responsibility to enter and complete but the clubs and/or teams may be able to view/verify).
    • Confirm DOB and Legal Name are correct on the Birth Certificate and is what was entered into the system).
    • Confirm player photo is front-facing head shot (like on a driver’s license), color, and clear.
    • Check that all coach documents are completed including head shot picture.
  • Create your Internal Rosters for each team as players upload their information
  • Clone your Internal Roster to the BPYSL Roster Event
  • Once ALL players and coaches are listed on your BPYSL Roster Event and appear correct, use the use the ‘Click Here to Notify BPYSL…’ button above to make your Notification Appt to us that your team is ready for Cards and Rosters to be printed for pick-up or mailing.
    • Please do not make a Notification Appointment if your team is NOT 100% ready and complete. 

Adding New Players and/or Coaches to be Carded (if the team has already received cards and roster):

  • Add player(s) to your Internal Roster.
  • Clone player(s) from your Internal Roster to the BPYSL Roster Event.
  • Once ALL players/coaches are listed on your BPYSL Roster Event and appear correct, use the use the ‘Click Here to Notify BPYSL…’ button above to make your Notification Appt to us that you are ready for Cards and Rosters to be printed for pick-up or mailing.
    • Please do not make a Notification Appointment if your team is NOT 100% ready and complete. 


Player Transfers

To complete a Transfer of a Player either from a team within your club to another team within your club or from one club to another club, please follow these instructions:

To be completed by a Club Admin/Official

Important Note: DO NOT remove the player from their current roster as the system will move the player once the transfer is executed by the receiving league.

To access the Transfer Form-

  1. Go to your Dashboard
  2. Under Affiliations select Ohio Soccer Association
  3. Under  Available Forms select 25/26 OSA Competitive League Transfer Form
  4. Click Start

To Initiate The Process:

1. Select/Toggle the blue button to either the Sending Organization (releasing club/team) or Receiving Organization (new club/team)
2. Follow the Steps

If the player’s name does not populate in Step 4, make sure they have a USYS/Competitive team role or contact members@ohio-soccer.org for assistance.

To Approve The Transfer:

  1. Review How to Approve Player Transfers as a Club (Sending and Receiving)
  2. Use the Comments box to provide any additional information and/or reason for disapproval if applicable
  3. Upload proof of player card destruction (image)
  4. You may need to notify other club/league that you need them to approve the transfer

Approved Transfer Process:

  1. Click the link above to notify BPYSL that you are ready to have the card and updated roster printed and mailed.
